The Board meets once a quarter to conduct PTO business. General meetings for the entire membership are scheduled at least twice a year, one to approve the budget and one to elect officers. Board members should be available to attend and help at PTO sponsored events, as well as other Patterson school events.

Positions

PRESIDENT
The President shall serve as the primary contact for PTO, act as liaison between principal, teachers, staff and PTO Board members. They shall work with officers and committees to be sure that PTO objectives can be met and preside over all PTO Board and General meetings.

VICE PRESIDENT
The Vice President shall act as an aide to the President and perform the duties of the President in the absence or inability of that officer to serve. They will assume other responsibilities as assigned by the Board.

TREASURER
The Treasurer shall be responsible for and have custody of all funds, make disbursements as properly authorized, be present at all PTO events where money will be collected, assure that PTO policies and best practices are followed with regards to funds, prepare financial reports for each meeting and as needed, provide tax receipts to sponsors for tax donations, prepare books for an annual audit.

SECRETARY
The Secretary shall keep the minutes of all PTO Board and General meetings, keep the calendar of PTO events, maintain master documents and perform all other duties assigned by the Board.

COMMUNICATIONS CHAIR
The Communications Coordinator will be responsible for promoting all PTO events through effective communication including, but not limited to: social media, flyers, emails, signage, word of mouth, bulletin boards and newsletters. They will need to be aware of all Patterson PTO events, seek approval from school principal before distribution and communicate with the appropriate committees as necessary.

TEACHER / STAFF APPRECIATION CHAIR
The Teacher Appreciation Coordinator shall organize teacher appreciation activities and coordinate daily recognition for Teacher Appreciation Week in May. They will be responsible for special occasion acknowledgements to teachers and staff.

FUNDRAISING CHAIR
The Fundraising Chair shall manage the coordination of all fundraising activities. Typically, the PTO holds a major fundraiser in both fall and spring. Smaller programs include, but are not limited to: Restaurant Days/Nights, FREE FUNds, Harkins and Spirit Gear.

DONATION / SPONSORSHIP CHAIR
The Donation/Sponsorship Chair shall be responsible for gathering donations from restaurants and businesses in the community. Items might be, but not limited to t-shirt sponsors, food donations, auction items, gift cards, student incentives, grants. They will oversee fulfillment of contract obligations (ie: display signage at PTO events) and ensure that sponsors receive thank you notes and recognition in school publications, i.e. social media, newsletters, event signage, website. They will work with Treasurer to be sure sponsors receive a tax donation receipt.
